Individuals have the right to be informed about the collection and use of their personal data.
All data is securely stored on encrypted cloud-based systems. For added security, two-factor authentication is enabled, and documents (excluding emails) are protected by a password.
The Depersonalisation Guidance Centre will collect your personal data for the following purposes:
- Referral documentation which will include identifiers; contact details (including emergency contact and GP details), demographic data, and reasons for the referral. This information is used in the processing of referrals and to support risk management.This information will be held for a period of seven years from when you leave the service.
Notes will be taken during the appointment to help guide interventions and to keep a record of what was discussed. These notes may also be used if there is any legal action or a complaint. All information will be retained for seven years after you leave the service.
It may be useful for other professionals (e.g. GP, psychiatrist) to be aware of what interventions have been delivered by The Depersonalisation Guidance Centre. This will only be done with your consent. This data will include letters/emails sent to and received from other practitioners/services. It may be used in the event of any legal action or complaint. This information will held for a period of seven years from when you leave the service.
- Payment details and payment history. This is to ensure that payments are kept up to date and in order.
- Any email correspondence between us that is sent to the following email address: thedpguidancecentre@gmail.com. This data will be used to support communication between us. It may be used in the event of any legal action or complaint and will be held for a period of seven years from when you leave the service.
- Anonymised entries in an online calendar (Apple Calendar) which will be used to plan and organise appointments.
- No data is collected for the purposes of marketing.
- Sessions are conducted using Microsoft Teams which is encrypted. There is a function to record sessions, however this function will not be used.
You have the right to object to the collection of your personal data although there are certain instances in which this right can be refused. You can exercise this right verbally, or in writing by emailing thedpguidancecentre@gmail.com.
You have the right to request a copy of the personal data we hold about you, along with other information specified under the GDPR. However, there are some exceptions to what we are required to disclose.
One such exception is when an appropriate health professional believes that sharing the information would likely cause serious harm to your physical or mental health, or to someone else’s well-being.

You have the right to ask us to rectify any inaccurate data that we hold about you. This can be done verbally, or in writing by emailing thedpguidancecentre@gmail.com.
You have the right to request that we erase the personal data we hold about you. However, this is not an absolute right, and there may be legitimate reasons to continue processing the data, depending on the legal basis (for example, we may need to retain patient records for handling complaints or legal claims).
You can request erasure of your personal data verbally, or in writing by emailing thedpguidancecentre@gmail.com.
Similarly, in certain instances you have the right to limit the way that The Depersonalisation Guidance Centre processes your personal data. These instances can be found on the Information Commissioner’s Office website HERE.

You have the right to object to being subject to a decision based solely on automated processing, including profiling. Currently, The Depersonalisation Guidance Centre does not use any automated processing or profiling systems.
